Event Management

  1. Planning

    • Scheduling and logistics: scheduling appropriate planning meetings, making a detailed and accurate budget, taking notes and collecting documentation in central place, item, food and decoration tracking.

    • Volunteer recruitment & communication: public call for volunteers, targeted volunteer groups (corporate volunteers), assigning volunteer jobs & sending accurate instructions (See Example)

    • Marketing: Start social media campaign. Send newsletters. Reach out to community partners & local influencers (See Example). Create print collateral. Send out press releases. (See Example)

2. Execution

  • Volunteer Management: tasks are pre-assigned, volunteers arrive with enough time to be trained on tasks and meet each other, frequent check-ins and built in breaks if needed. (See Example)

  • Day of Logistics: Contact information cheat sheet listing responsibilities/vendor description, event timeline-public version plus private more detailed version, will call for ticketed events is easy to understand, scheduling set up, clean up, and event volunteers.
